IAP Meeting Minutes – Mon 20th May at 4 Couch Green
1. Funding Report
Accounts 2022-23 – Raised £7177.77, Donated to the School £1775.57
Accounts to date 2023-24 – Raised £7515.01, Donated to the School £5481.98
IAP Account stands at £8445.33, with £1500 needed for running our big events. We are currently committed to £3600 of spending (Forest School and Y6 Leavers) giving us £3345.33 of available funds.
Can we communicate in a better way on funding goals? What are the school’s priority needs? Discussed providing more consistent minutes from our meetings and advertising where money has been spend and needs to be raised. Jonathan to add funding goals to IAP website. School to create a priority list for funding requests? We will take it in turns to take minutes and publish.
2. Thursday Cake Sale
Year 3 to host. Additional table for Summer Fair, with info and volunteer sign up sheet.
3. School Disco – 7th June
RSVPs to be taken on the IAP website. Push to be made via WhatsApp. £3 Contributions to be taken on the door via cash or card. Note required for parents regarding any light/noise sensitivity (we can confirm no strobe lights being used). Not fancy dress but party dress, encourage the children to dress up for the occasion. KS1 4p – 4.45pm, KS2 5 – 5.45pm. We need to meet ahead of the Friday to test music system and lighting.
4. Sports Day BBQ – 14th June
Mr Robbins requested BBQ at Sports Day. Drinks, Ices and cakes same as last year.
BBQ lit around 2.15/2.30pm, ready for food to be served at 3pm. Jake to get ice pops and veggie options. Jonathan to buy sausages, buns and sauces.
5. Reception Introduction – 20th June
Jake and Jonathan confirmed to attend. Presenting book bags and discussing the IAP. 2nd Hand uniform rail will be made available.
6. Summer Fair – 29th June
Alexis has created a spreadsheet of business contacts and an email template, everyone needs to jump on this list and tick off as many as leads possible.
No progress yet with food trucks. We need now need to push as hard as possible to secure food options. We do have the ultimate backup of running our own food but would obviously prefer an external provider. Georgie to chase on food trucks. Jake to chase the Plough. Kevin and Jo to approach the Chestnut Horse. New tenants at the Cricketeers too.
Louise and Alexis to contact club leaders for dance, drama, music and gymnastics.
Jake and Jonathan to confirm Year Group assignments and pass on notes to year reps.
Georgie organising plant sale.
Hellards are producing advertising boards for us. Jonathan has a design ready for a big banner, design to be signed off with main sponsors. Events listings in place for Itchen Valley News, Itchen Valley Forum and Winchester Council.
7. Stay & Play Dates
Dates discussed for supporting new parents during the settling in sessions. Will confirm attendees closer to the time.
8. Benevity
Alexis has referred the charity for Benevity, a service that provides match funding for charitable work (hours volunteered). Jonathan has completed the application paperwork and we are waiting on confirmation.
